Circle of Care (“we,” “us”) is a caregiving-support app operated by Mindable Solutions LLC. Caring for an aging parent means trusting an app with deeply personal information. This policy explains what we collect, how we use it, who we share it with, and the control you have. We collect only what the app needs to help you, and we never sell your information.
Information we collect
Information you provide
- Account information — your name and email address (or the Apple/Google account you sign in with).
- Care information you enter — the profile you build for the person you care for (name, age, conditions, allergies, medications, routines, preferences, emergency contacts), the observations and notes you log, appointments, and questions you ask.
- Photos and documents — pictures of pill bottles, medical documents, and photos you attach to observations.
- Voice recordings — when you log by voice or use the in-the-moment coach, your audio is sent securely for transcription, then handled as a note. We do not use your recordings to train models.
- Family circle — the people you invite and the role/permissions you give them.
Information collected automatically
- Diagnostics — crash reports and basic technical logs to keep the app working. These use anonymized identifiers, not names.
- Subscription status — whether you have an active subscription or trial (handled by RevenueCat and Apple; we never see your card details).
How we use information
- To provide the app — store and organize your notes, build a personalized daily plan, send medication and appointment reminders, and answer your questions using the history you’ve built.
- To power AI features — your parent’s profile and your recent notes are sent to our AI providers to generate guidance grounded in your specific situation. We minimize identifying details sent for this purpose.
- To share within your family circle, according to the role and permissions you assign each person.
- To keep the service secure, diagnose problems, and process your subscription.
Service providers we share with
We share information only with the providers that operate the service on our behalf, under contracts that limit them to that purpose. We do not sell personal information or share it for advertising.

How long we keep information
We keep your information while your account is active. When you delete your account (Settings → Account → Delete account), we permanently erase your account and the information you own — observations, medications, documents, appointments, and family access — from our systems. Deletion is immediate and cannot be undone. Backups and provider logs are purged on a rolling basis.
Your choices and rights
- Access and deletion — you can delete your account and all associated data anytime from within the app. To request a copy of your data, email us.
- Permissions — you control which family members see what, and can change or remove access anytime.
- Notifications — manage reminders in the app or your device settings.
- Microphone, camera, calendar — optional, and only used when you choose a feature that needs them.
Security
Information is encrypted in transit, access is restricted by row-level security so each family only sees its own data, and minor or sensitive information is isolated. No system is perfectly secure, but we work to protect your information and limit who can access it.
Children
Circle of Care is for adults caring for adults. It is not directed to children and we do not knowingly collect information from anyone under 18.
Changes to this policy
If we make material changes, we’ll update the date above and, where appropriate, notify you in the app.
